My Wellness Match: Terms and Conditions

Welcome to My Wellness Match, an online marketplace connecting clients with independent wellness practitioners, including but not limited to yoga teachers, meditation instructors, tai chi and qigong guides, wellness coaches, and breathwork facilitators.

By using our website, services, or engaging with practitioners listed on the platform, you agree to these Terms and Conditions. Please read them carefully.

1. Service Overview
My Wellness Match is a platform that facilitates the discovery, scheduling, messaging, video conferencing, and payment processing between users and independent wellness practitioners. Sessions may take place online through the platform or offline in person.

2. Independent Contractor Status
All practitioners listed on My Wellness Match are self-employed and operate independently. My Wellness Match does not employ, manage, supervise, or control practitioners in any way. While we do review and verify submitted certifications or credentials during the onboarding process, this does not constitute endorsement or ongoing monitoring. As such, the platform is not responsible or liable for the conduct, actions, omissions, qualifications, or services provided by any practitioner.

3. User Accounts
Users are responsible for maintaining the security of their account credentials. You agree not to share your account or password with others. You are fully responsible for any activity conducted under your account.

4. Booking, Payment, and Fees
All bookings and payments for services must be made through the My Wellness Match platform. Practitioners independently set their own prices and availability.

It is completely free for practitioners to sign up and list their services. There are no subscription, onboarding, or listing fees. Practitioners only pay a commission on sessions that are actually booked and completed through the platform.

My Wellness Match generally retains a 20% commission from each transaction. In some cases, a reduced or 0% commission may be offered for a set period as part of a promotional or launch agreement arranged in advance. Practitioners receive the remaining percentage of the session fee. Payouts can be requested 24 hours after a completed session, provided no disputes are pending. A small transaction fee may also apply depending on your chosen payout method.

It is also completely free for both practitioners and users to message each other within the platform.
 
When you book a session through My Wellness Match, you are entering into a direct agreement with the individual wellness practitioner who provides the service. My Wellness Match acts as a facilitator only, providing the platform to connect clients and practitioners. The practitioner is solely responsible for delivering the service and complying with applicable laws, ethical standards, and professional requirements.

5. Communication and Platform Use
All communication must take place on the platform. Practitioners and users must not share personal contact details such as phone numbers, email addresses, business names, or external website links for the purpose of arranging sessions or payments outside the platform.

Practitioners agree not to circumvent the platform by arranging services or accepting payments from clients they were introduced to through My Wellness Match outside of the platform. Doing so is a breach of these Terms and may result in account suspension or permanent removal.
 
To maintain a safe and respectful community, we may review messages sent through the platform in specific cases, for example, if there is a complaint, safeguarding concern, or suspected breach of our terms (e.g. sharing contact details or arranging bookings outside the platform). This is explained in more detail in our Privacy Policy.

6. Why We Ask This
We do not charge practitioners to be listed on the site. Our only income is the commission on bookings. That commission helps cover running costs and supports advertising to bring new clients to the platform, which benefits everyone. If bookings are taken off platform, then the platform won't make any income to cover running and advertising costs and we'll have to close.

Keeping everything on the platform also helps keep the community safe. If any issues come up, like inappropriate behaviour from a client or practitioner, we can view message history and take quick action to protect others. We cannot do that if sessions or conversations are happening elsewhere.

When you stay on the platform, you also benefit from client reviews and ratings, which help build trust and increase your chances of getting more bookings over time.

7. Offering Other Services
We understand that many practitioners also offer services outside the scope of My Wellness Match, such as counselling, psychotherapy, or energy healing. That’s absolutely fine. You are free to run your wider business as you choose. However, if a client first connects with you through My Wellness Match, we ask that you keep all communication and bookings for that client on the platform, even if they later request a service that isn’t currently listed here.

8. Practitioner Code of Conduct
Practitioners must:
• Communicate professionally and respectfully at all times
• Offer only services they are trained and insured to provide
• Follow inclusive and ethical practices
• Respect client confidentiality at all times. Practitioners must not share client names, contact details, or session information with anyone outside the platform, except the My Wellness Match site admin where necessary for platform support or safeguarding. 

We reserve the right to remove or suspend practitioners if we receive complaints, reports of unprofessional conduct, or consistently poor reviews.

9. Affiliate Programme
My Wellness Match offers an affiliate referral program for both practitioners and students. Users may earn rewards or commissions for referring others to the platform through their unique referral link. Participation in the affiliate program is subject to additional terms and conditions, which may be updated from time to time. Abuse or manipulation of the affiliate system is grounds for removal from the program and possible suspension of your account.

10. Cancellations and Refunds
Clients may cancel a session with a minimum of 24 hours' notice to receive a full refund. Cancellations made in less than 24 hours of the scheduled session are non-refundable. Refunds are returned to your website Wallet and are processed within 5-10 business days. If you want to withdraw it from your wallet into your bank account, click on Wallet Withdrawals in your dashboard area and complete the steps there. In case of disputes, users should contact info@mywellnessmatch.com
 
Please note: Our previous policy offered a 50% refund for cancelled sessions. If you cancelled a session before this policy was updated, your refund may have been processed under that earlier approach.
 
By booking a session through the platform, you are entering into a direct agreement with the practitioner, who is responsible for delivering the service. My Wellness Match facilitates payments and booking management, but the practitioner is responsible for service delivery and compliance with applicable regulations.
 
We do not offer refunds after a session has ended unless there is a clear issue, such as practitioner misconduct or failure to deliver the service as agreed. If this happens, clients should contact info@mywellnessmatch.com with as much detail as possible so we can investigate.

Practitioners are expected to provide a minimum of 24 hours' notice for any session cancellation. Frequent last-minute cancellations or no-shows by practitioners may result in warnings or suspension from the platform. If a practitioner needs to cancel within 24 hours due to an emergency, they must inform the client and the platform as soon as possible, and either reschedule the session promptly or issue a full refund. Emergencies should be communicated clearly and respectfully, and practitioners may be asked to provide context if such cancellations occur repeatedly.

11. Acceptable Use
By using My Wellness Match, you agree not to:
• Provide false, misleading, or fraudulent information
• Harass, abuse, or harm other users or practitioners
• Attempt to bypass platform processes or fees (for example, by arranging services or payments outside the platform)
• Post or transmit content that is offensive, defamatory, discriminatory, or unlawful
• Use the platform to promote services you are not qualified or insured to deliver
 
12. Disclaimer of Warranties and Limitation of Liability
My Wellness Match does not guarantee the effectiveness or outcome of any session or interaction. The platform provides no warranties as to the fitness, quality, or results of any practitioner’s service. To the fullest extent permitted by law, we disclaim any liability for damages resulting from interactions or sessions booked through the platform.

All practitioners are required to hold valid insurance for the services they offer. If you experience any issues or feel that a practitioner has acted inappropriately, we encourage you to raise this directly with them and to let us know via info@mywellnessmatch.com
We take all concerns seriously and may suspend or remove practitioners who do not meet our professional standards.

13. Intellectual Property
The My Wellness Match platform, including all design elements, logos, and original content, is protected under applicable copyright and intellectual property laws. Unauthorized use is prohibited.

14. Privacy
Your use of My Wellness Match is subject to our Privacy Policy, which explains how we collect, store, and use your information.

15. Online Sessions and Video Conferencing
All online sessions are currently conducted using Pencil Spaces, a secure virtual meeting platform designed for online collaboration, learning, and coaching. Pencil Spaces uses encryption to protect video, audio, and shared content during transmission.

My Wellness Match does not record or store any video or audio content by default. If a session needs to be recorded (for example, for supervision or personal review), this will only take place with your clear written consent. Appropriate security measures will be in place for any recordings.

We may change or upgrade our video conferencing provider in the future to improve features or user experience, including options such as session recording where relevant.

16. Amendments
We reserve the right to update or modify these Terms at any time. Continued use of the platform after changes constitutes your acceptance of those updates.
